Privacy Notice

This page is a working draft, not yet reviewed by legal counsel. It describes, in plain terms, what personal data the Resettlement Division collects through this site and why — but the exact wording, retention periods, and legal basis stated below should not be relied on as a final compliance position.

1. Who we are

The Resettlement Division, Office of the Vice President, Republic of Zambia, is the data controller for personal data collected through this website, in connection with land allocation applications, title recommendation applications, and the resettlement schemes register.

2. What we collect

When you apply for land allocation or a title recommendation, or when a settler record is created for a resettlement scheme, we collect information including:

  • —Full name, National Registration Card (NRC) number, date of birth, sex
  • —Phone number, email address, and current physical/postal address
  • —Next-of-kin details, marital status, and disability status where you choose to provide it
  • —For organisation applicants: director/secretary names, NRC numbers, and contact details
  • —Uploaded documents — NRC scans, passport photos, and supporting certificates

Settler records are entered by scheme staff, not submitted directly by settlers through this site — if you are a settler and want to know what is on file about you, see section 6 below.

3. Why we collect it

We use this information to process land allocation and title recommendation applications, verify eligibility, communicate with you about your application's status, maintain the official settler register for resettlement schemes, and produce statistics and reports on the resettlement programme. We do not sell or share your personal data with third parties for marketing purposes.

4. How we protect it

Sensitive fields (including NRC numbers, names, contact details, and disability status) are encrypted at rest. Uploaded documents are stored in a private bucket, never publicly accessible, and only served to authorised staff through a permission-checked, time-limited link. Backups are encrypted and access to the administrative system is restricted to staff who need it for their role.

5. How long we keep it

Applications that result in an allocated plot or an approved title recommendation are kept as part of the permanent land-record for that scheme. Applications that are rejected are retained for a limited period afterwards (currently configured internally, not a fixed public number in this draft) to handle appeals or repeat applications, after which the personal data on them is anonymized. Settler records are retained for as long as the settler holds an active allocation.

6. Your rights

You may ask what personal data we hold about you, ask us to correct inaccurate data, or — where an active land allocation, title, or settler record does not depend on it — ask us to erase it. To make a request, contact the Resettlement Division through the details on our Contact page. We will confirm receipt and the outcome of your request in writing.

7. Changes to this notice

If we make a substantive change to this notice, we will update the version number at the top of this page. The version in effect when you submitted an application is recorded against your application.
